Program Coordinator

The primary purpose of the Program Coordinator position is to coordinate the operation of a program or project and perform complex administrative duties that require independent judgment and competence working with faculty, staff and students. The Program Coordinator develops, oversees and coordinates activities related to the Science Park Graduate Student Program. Plans, implements and reviews initiatives and programs to accomplish program goals. Assists in the recruitment and appointment process for trainees. Maintains information relevant to trainee activities on campus and tracks trainees’ professional progress post-graduation. Provides administrative support to assigned faculty in the areas of grant proposal and manuscript submissions, travel, and special projects.
Work closely with the Graduate Program Director and Co-Director and provide administrative support for the Program. Serve as liaison between the Program and the Graduate School and be a resource for information about GSBS academic policies and procedures, graduate assistant appointment matters, the faculty application process, potential scholarships and fellowships, etc. Track Program students’ coursework and notify GSBS when students have completed Program requirements. Work with GSBS to coordinate the 7-year program review. Use Embark to facilitate review of Program’s applicants. Manage student recruitment for the Program and work closely with the GSBS Recruiting Council. Coordinate student and faculty participation in GSBS visitation events; arrange Program-specific visitation events. Organize annual orientation program for incoming GSBS students to recruit new Program students.
Provide administrative support for assigned faculty to include areas of grant and manuscript preparation and submission. Prepare educational and research materials and CVs. Compile reports, compose formal and informal correspondence, and create and format presentations. Make travel arrangements and prepare expense reports. Arrange teleconferences, meetings and conferences. Provide support for outside faculty activities such as scientific meetings, external committee work, editorial boards, etc.
Organize meetings and events that bring Program members together for scientific exchange and other graduate education purposes, e.g., seminars, workshops, student meetings, annual retreats, etc. Organize social gatherings for Program members. Organize and prepare materials for faculty meetings to be led by the Program Director. Provide updated Program information for website management. Create and/or regularly update Program Handbook for students. Coordinate presentation of Program courses both on-site and via videoconference. Upload course presentations, handouts and additional reading materials from the presenting faculty to Box for student access. Serve as designee for faculty members at Science Park and submit grades on their behalf for all students.
